Microsoft Outlook has the ability to create a Contact Group (formerly called a “distribution list”) from your Contacts list. It is a great way to save times and efforts if you wan to send an email to a group of email address. In this post, we will show you how to create contact group in Outlook 2013/2016 to send a message to multiple addresses, especially groups of people you regularly contact conveniently.
Part 1: Steps to Create a Contact Group or Distribution List in Outlook 2016/2013
Open Outlook on your computer. For Outlook 2013, click “People”. For Outlook 2016, click on the people icon.
Click Home > New Contact Group. On the Contact Group tab, Click Add Members, and then add people from your address book or contacts list.
Hold down the CTRL key. In Contact Group dialop box: enter the desired name for the Contact Group in the Name field.
On the Contact Group tab, in the Members group, click the Add Members list and then choose how you can add the member.
If you wan to add a member From Outlook Contacts or From Address Book, in the Address Book drop-down list, click the address book that contains the e-mail addresses that you want to include in your Contact Group.
If you want to add a New E-mail Contact, enter the information for the person in the Add New Member dialog box.
When you finished, click Save & Close under the Contact Group tab.
Part 2: How to Use Contact Group in Outlook 2016/2013?
After creating Contact group, you can easily send an email to multiple people without having to add each name each time you want to write them.
When you send a message to all of the members in this group, create a new email as usual and put your new Contact Group name in the "To..." field.
You can check who's in the distribution list by clicking the plus (+) sign besides the Contact Group name and you can delete or add email addresses to the recipients list as well.
Part 3: How to Add Multiple Contacts to A Contact Group Easily?
Creating the group is easy if you add only a few contacts. But if the group comprises dozens or hundreds of contacts, finding and adding each one individually to the group would be a tedious task. Here is an easy way for you to add multiple contacts to a contact group.
Open the People window. Click Change View in the Current View group and choose List. Now you can group your contacts by Name, Job, Company, etc.
If you have an existing folder where you can copy the grouped contacts, drag the group from the list to the folder while holding down the CTRL key.
If you need to create a new folder, click the first contact and then hold down the Shift key which click the last to select the contacts you want to copy
Right-click the selection and choose Move from the resulting submenu
In the next submenu, choose Copy To Folder. In the resulting dialog, click New, enter the name for your contact folder and click OK.
Now when you add members to your contact group, you can easily select the members from your contact folder.
